Terms of Service
Please read these terms carefully before using KaamFlow.
By using our service, you agree to be bound by these terms.

These Terms of Service form a legally binding agreement between you and KaamFlow. By using our service, you acknowledge that you have read, understood, and agree to be bound by these terms. If you do not agree, please do not use KaamFlow.
1. Acceptance of Terms
By accessing or using KaamFlow ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use the Service.
These Terms apply to all users of the Service, including free trial users, paying subscribers, and enterprise customers.
2. Description of Service
KaamFlow provides project management, task management, team collaboration, client communication, approval workflow, calendar planning, and file management tools. The Service includes:
- Task and project management
- Team collaboration and communication
- Client updates and approval stamps
- Calendar and timeline planning
- File storage and management
- Reporting and analytics
We may add, modify, or remove features at any time, as described in Section 15.
3. Account Registration
To use the Service, you must create an account. You are responsible for:
- Providing accurate and complete registration information
- Maintaining the security of your account password
- All activities that occur under your account
- Notifying us immediately of any unauthorized use of your account
We reserve the right to refuse service, suspend accounts, or terminate accounts at our discretion.
4. Subscription Plans
We offer the following subscription plans:
- Free Plan – Limited features at no cost
- Standard Plan – Paid monthly or annual subscription
- Professional Plan – Paid monthly or annual subscription
- Enterprise Plan – Custom pricing for organizations
Each plan includes specific features, storage limits, and member limits as described on our Pricing page. We may update plan features and pricing with reasonable notice.
5. Billing and Payments
Subscription fees are billed in advance on a monthly or annual basis, depending on your selected plan. All fees are in US Dollars (USD) unless otherwise stated.
You are responsible for:
- All applicable taxes associated with your subscription
- Maintaining valid payment information
- Ensuring sufficient funds are available for automatic charges
Payments are processed by our third-party payment providers. We do not store full payment card information on our servers.
6. Auto-Renewal
All paid subscriptions automatically renew at the end of each billing period unless you cancel before the renewal date.
- Monthly plans – Renew automatically each month
- Annual plans – Renew automatically each year
You will be charged the then-current subscription rate at the time of renewal. We will send a reminder notice before your subscription renews.
7. Cancellation
How to cancel: You may cancel your subscription at any time through your account settings. No phone calls or emails are required.
When cancellation takes effect: Cancellation takes effect at the end of your current billing period. You will continue to have access to your paid plan features until that date.
After cancellation: Your account will automatically downgrade to our Free plan. You will retain access to your data, but some features will be limited.
No partial refunds: We do not offer prorated refunds for partial months. If you cancel mid-billing period, you will not receive a refund for the remaining time.
8. Refund Policy
Monthly Subscriptions
Monthly subscriptions are non-refundable. You may cancel at any time, and your cancellation will take effect at the end of your current billing period. You will not be charged for future months.
Annual Subscriptions
If you purchase an annual subscription, you may request a refund within 14 days of your purchase date, provided you have not:
- Exceeded your plan's storage limit
- Invited more than 5 team members
- Violated our Acceptable Use policy
When Refunds Are Issued
Refunds are issued only in these circumstances:
- Billing errors – You were charged an incorrect amount
- Duplicate charges – You were charged twice for the same period
- Technical failure – A documented bug prevented you from using the Service for 7+ consecutive days
- Service unavailability – Our uptime fell below 99% for your billing period
When Refunds Are NOT Issued
Refunds are not issued for:
- Change of mind or decision not to use the Service
- Failure to cancel before renewal
- Exceeding storage or member limits
- Third-party issues (internet, browser, etc.)
- Free trial conversions (you already had time to evaluate)
How to Request a Refund
Submit a refund request through our contact form with "Refund Request" in the subject line. Include your account email and reason for the request.
Processing Time
Approved refunds are processed within 5-10 business days. However, depending on your bank or payment provider, it may take up to 30 days for the refund to appear on your statement.
9. Acceptable Use
You agree NOT to use the Service for:
- Uploading malware, viruses, or harmful code
- Attempting to gain unauthorized access to the Service or other user accounts
- Using the Service for any illegal purpose or activity
- Harassing, abusing, or harming other users
- Infringing on intellectual property rights of others
- Uploading illegal, obscene, or defamatory content
- Interfering with or disrupting the Service or its infrastructure
Violation of this section may result in immediate account suspension or termination without refund.
10. Intellectual Property
We own: The KaamFlow platform, software, design, branding, logos, and underlying technology. You may not copy, modify, or reverse engineer any part of the Service.
You own: Your content, including projects, tasks, files, and any data you upload to the Service. We do not claim ownership of your content.
You grant us a limited license to store, process, and display your content as necessary to provide the Service to you.
11. User Content
You are solely responsible for all content you upload, store, or share using the Service. You represent and warrant that:
- You own or have the necessary licenses to use the content
- Your content does not violate any third-party rights or applicable laws
We are not responsible for user-generated content and do not regularly monitor content. However, we reserve the right to remove content that violates these Terms.
12. Availability of Service
We strive to keep the Service available at all times. However, the Service may occasionally experience:
- Scheduled maintenance (announced in advance when possible)
- Unscheduled downtime due to technical issues
- Service interruptions caused by third parties
We do not guarantee uninterrupted or error-free service. We will make reasonable efforts to restore service as quickly as possible.
13. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided "as is" and "as available" without warranties of any kind
- We disclaim all warranties, express or implied, including merchantability and fitness for a particular purpose
- We are not liable for any indirect, incidental, special, consequential, or punitive damages
- Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim
- For free users, our total liability is limited to $0
Some jurisdictions do not allow certain liability limitations. In those cases, our liability shall be limited to the fullest extent permitted by applicable law.
14. Termination
We may suspend or terminate your account immediately without notice if you:
- Violate these Terms
- Engage in fraudulent or abusive behavior
- Fail to pay outstanding fees
- Use the Service in a way that harms us or other users
You may terminate your account at any time by canceling your subscription and requesting account deletion through our support team.
Upon termination, your right to use the Service ends immediately. We will provide you with a reasonable opportunity to export your data before permanent deletion.
15. Changes to Service
We may modify, add, or remove features of the Service at any time. This includes:
- Adding new features or tools
- Modifying existing features
- Removing features that are no longer viable
- Adjusting pricing or plan structures with reasonable notice
We will provide notice of material changes that affect your use of the Service.
16. Governing Law
These Terms shall be governed by and construed in accordance with the laws of Pakistan, without regard to its conflict of law principles.
Any disputes arising from these Terms or your use of the Service shall be resolved in the courts of Karachi, Pakistan.
